Availability Settings
Availability settings control when team members can be scheduled for bookings. Each worker manages their own availability through the Account section, and admins can view and override as needed.
Weekly Availability
The base availability is set as a weekly recurring schedule:
- Available days — Toggle each day of the week on/off
- Start and end times — Set working hours for each available day
- Break times — Optional mid-day breaks (e.g., 12:00-12:30 for lunch)
Example:
| Day | Available | Hours |
|---|---|---|
| Monday | Yes | 8:00am - 5:00pm |
| Tuesday | Yes | 8:00am - 5:00pm |
| Wednesday | Yes | 8:00am - 5:00pm |
| Thursday | Yes | 8:00am - 5:00pm |
| Friday | Yes | 8:00am - 3:00pm |
| Saturday | No | — |
| Sunday | No | — |
Blocked Dates
Block specific dates when a team member is unavailable:
- Single day — Block one day (vacation day, appointment)
- Date range — Block a span of days (vacation, leave)
- Recurring block — Block every occurrence of a date pattern (e.g., first Monday of each month)
Blocked dates override weekly availability. Existing bookings on a blocked date are not automatically cancelled — they must be reassigned manually.
Tier-Gated Controls
Availability controls are progressively unlocked based on the worker's tier level:
| Tier | Available Controls |
|---|---|
| New | Basic weekly hours, blocked dates |
| Proven | + Availability preferences (always/never available for specific situations) |
| Reliable | + Buffer rules between bookings, basic Pandora availability |
| Expert | + Per-service pricing preferences, full Pandora rules |
| Elite | + Unlimited conditional rules, direct rate setting, catalog listing |
This tiered system ensures that schedule complexity grows with the worker's proven reliability.
Buffer Rules
Buffer rules add padding between bookings:
- Travel buffer — Minimum time between the end of one booking and the start of the next (accounts for drive time)
- Preparation buffer — Time before a booking for equipment setup
- Cooldown buffer — Time after a booking for cleanup and transit
Buffers are subtracted from available slots. A 30-minute travel buffer on a crew with back-to-back bookings means the second booking cannot start until 30 minutes after the first ends.
Admin Override
Admins can view any team member's availability and make adjustments:
- Navigate to Settings > Team
- Select the team member
- View their current availability settings
- Make changes as needed (will be flagged as admin-modified)
Admin overrides are logged in the activity log for transparency.
