Team Management

Effective team management in Otesse goes beyond adding users. Here is how to organize, assign, and monitor your team.

Team List

The Settings > Team page shows all team members with:

  • Name and avatar
  • Role and account type
  • Status (active, invited, deactivated)
  • Assigned zones
  • Last active date

Use the filters and search to find specific team members. Sort by name, role, status, or last active date.

Team Groups

Organize team members into logical groups for easier management:

  • Cleaning Crew A — Morning shift cleaning team
  • Junk Removal Team — Dedicated junk hauling crew
  • Downtown Dispatch — Dispatchers covering downtown zones

Groups are used for:

  • Bulk schedule assignments
  • Communication (send messages to a group)
  • Reporting (team performance metrics)

Creating a Group

  1. Go to Settings > Team > Groups
  2. Click Create Group
  3. Name the group and add members
  4. Optionally assign a group leader

Zone Assignments

Each team member can be assigned to one or more service zones. Zone assignments determine:

  • Which bookings they can be dispatched to
  • What shows on their calendar
  • Their availability in the scheduling algorithm

To update zone assignments:

  1. Open the team member's profile
  2. Go to the Zones section
  3. Add or remove zones
  4. Changes take effect immediately for future bookings

Capacity Tracking

Monitor your team's capacity at a glance:

  • Utilization rate — Percentage of available hours that are booked
  • Booking load — Number of active bookings per team member
  • Zone coverage — How many team members are assigned to each zone

These metrics help you identify when you need to hire, reassign, or adjust zone boundaries.

Performance Overview

The team management page surfaces key performance indicators:

  • Completion rate (jobs completed vs assigned)
  • Customer satisfaction scores (average rating)
  • On-time arrival rate
  • Response time to new assignments

Individual detailed performance is available in each team member's profile. Aggregate team performance is available in the Reports module.
